Please Note: All rates shown are exclusive of GST and include TWO (2) Experienced Motel Managers for the one hourly rate. These rates are not per manager.  We provide for a maximum of 13hrs of continuous day time motel management coverage of your property (generally 6am - 7:00pm, but negotiable if these times don't suit you) as well as being on call outside these items for typical night manager duties such as late arrivals, disturbances, emergencies etc...  Any hours worked in excess of 13hrs on any given day (for general work such as late dinners, early breakfasts, extra cleaning or housekeeping, restaurant management, kitchen cleanup or performing work for an absent or non-existent staff members etc...) are billable as 'additional hours' and are charged at $32 per/hr or part there of.  Rates shown on these tables are for a minimum seven (7) night assignments.  A 10% premium applies for assignments between 2 & 6 Nights. Single night emergency assignments are only available to approved clients within a 1hr drive of the Toowoomba metro are, are subject to availability at the time and a 25% premium applies on our hourly rates shown below. Our Travel Costs are calculated at the rate of 38.5c +gst per km of distance travelled during the course of the assignment, which includes but is not limited to, travel to and from our home base in Toowoomba and any km's travelled as part of the assignment whilst caring for your property (buying groceries, commercial cleaning products etc...). Please check our Package descriptions below to see which services are included in each price range.

* Packed Lunches can be provided for Guests only where this forms part of your standard offering.  Processes must already be in place, along with all necessary items including fresh food products and packaging requirements.

# Tour Desk operations can be provided where this is a standard service you provide AND you have processes that are clearly documented for us to follow, and must include all necessary contact phone numbers, tour product cheat sheets, commission rates etc...  Some handover training may be required.

^ Payroll services include calculating time sheets/hours as recorded by each staff member, and preparation of summary information to be forwarded to your Payroll provider.  We do not actually pay your employees.  Handover training will be required.

Standard Relief Package Inclusions

The following provides a bit more detail on the activities that are included in our Standard Relief Motel Management packages. Anything not included here will likely place you in our Premium category.  Please see further below for full Premium Relief Management Package inclusions.

Complete Office Management includes:

  • Checking In/Out Guests according to your Property Management Software (Satin, GuestPoint, RMS, Hirum etc...)
  • Processing credit card & cash payments
  • Preparing Guest Invoices;
  • Filing Paperwork
  • Processing online bookings &/or cancellations received
  • Processing telephone reservations & enquiries
  • Tending to Telephone & Emails enquiries
  • Ordering or fetching Milk and other Sundry items (as required)
  • Ordering Office Consumables when required (toner, paper etc...)

Full Guest Services includes:

  • Tending to Guest enquiries
  • Taking Breakfast Orders
  • Providing Guests with help/directions (within the limits of our local knowledge)
  • Providing a Guest Laundry Service (if part of your standard offer)
  • Managing Guest messages and deliveries

Staff & Time-sheet Management includes:

  • Managing your staff in your absence
  • Preparing and publishing/distributing rosters (where necessary)
  • Managing the use of casual, part-time and permanent housekeeping, cook &/or reception staff as required 
  • Minimising staff wage costs where possible in accordance with your instructions - Handover information mandatory

Room Stripping includes:

  • Check for potential lost property items and contacting departed guest
  • Remove dirty linen & toweling
  • Replace with clean linen & clean toweling
  • Put clean pillowslips on pillows
  • Remove garbage & replace bin liners
  • Replenish milk, tea, coffee, biscuits, sugar etc.
  • Replenish bathroom amenities
  • Check toilet paper roll & replace if required
  • Remove breakfast trays
  • Identify crockery, cutlery, glassware to be cleaned by Housekeeping

 Laundering Towels, Bathmats etc... includes:

Note: We only do this where this forms part of your normal practice.  Otherwise, it is assumed that these items are sent out with other Linen to a commercial Laundry Services.

  • Laundering of Towels, Bathmats, Hand Towels & Face Washers using your commercial grade (or other) washing machines
  • Drying all of the above in your commercial grade (or other) dryer
  • Sorting & folding of all the above and returning to stock

Managing Linen Services includes:

  • Pre-ordering linen requirements for periodic deliveries from outsourced Commercial Laundry
  • Receipt & count linen when delivered
  • Check for obvious signs of rejects
  • Record paperwork and tally totals
  • Re-fold any items (if required)
  • Put laundry away into stock

Inventory Management includes:

  • Managing online inventory
  • Managing room allocation to maximise online availability
  • Monitoring online rates
  • Managing rollovers to minimise housekeeping costs (weekend room rollovers)
  • Ensuring online rates are reflected in-house

Basic Gardening & Maintenance:

Please Note: We do not provide any electrical or plumbing services beyond that which you might reasonably expect of an unlicensed home owner.

  • Trimming Plants
  • Weeding
  • Lawn Mowing and edging (if required equipment is available)
  • Sweeping exterior paths
  • Storm preparation & cleanup afterwards
  • Watering lawns and gardens (where permitted and in accordance with statutory/regulatory requirements).

Guest Breakfasts Only includes:

  • Preparing individual cooked or continental room service breakfasts
  • Does not include running a hot buffet or sit-down restaurant area

Swimming Pool Cleaning Only:

  • Cleaning of a swimming pool as needed (if required)
  • Does not include the application of chemicals, back washing, water testing or pH balancing (unless assignment is for 14 days or more)

  • Managing casual staffing levels to minimise cost but maintain required staffing levels and individual weekly hourly requirements
  • Managing last minute staffing changes (sick days etc...)
  • Staff conflict resolution
  • Check every room cleaned before signing off as service/depart completed
  • Randomly audit the work of housekeeping staff, cooks, waiters etc...

Room Stripping includes (up to 25 rooms per day):

Note: We provide support and management of housekeepers/cleaners by stripping rooms in preparation for them to follow however we are not Housekeepers ourselves.

  • Check for potential lost property items and contacting departed guest

  • Ensuring daily dynamic rates in Reservation System are reflecting preferred levels
  • Responding to group reservation requests and providing discounting in accordance with your prior instructions, or in the absence of any prior instruction, as we deem necessary to secure the reservation

Inventory Management includes:

  • Managing online inventory
  • Managing room allocation to maximise online availability (playing tetris)
  • Monitoring online rates
  • Managing rollovers to minimise housekeeping costs (weekend room rollovers)
  • Ensuring online rates are reflected in-house

Guest Breakfast & Dinners includes:

  • Preparing individual cooked or continental room service breakfasts or Dinners
  • Does not include running a hot buffet or sit-down restaurant area

Guest Packed Lunches includes:

  •  Preparing Packed Lunches for Guests according to processes that must already be in place.  Requires fresh food, commercially approved kitchen and food packaging materials

Restaurant Support (where a sit down restaurant or meal service area exists), includes:

Note: We do not run restaurants or bars on our own, we are not cook/chef replacements, however we are happy to support existing staff when extra help is required on an adhoc basis.

  • Support existing Kitchen / Wait staff to delivery meals to rooms (when required)
  • Support existing Restaurant / Bar staff in the running of the Kitchen / Bar (when required)
  • Ordering food & beverage stock items for Kitchen / Bar (as per lists provided by responsible staff)

Swimming Pool Maintenance includes:

  • Cleaning of a swimming pool as needed (if required)
  • Application of chemicals, back washing, water testing or pH balancing (clear written instructions must be provided) - Handover training will be required
  • Tidying up of pool area (lounges, towels, gardens, leaves etc...)

Garden & Lawn Maintenance includes:

Note: These are only done in the absence of a full time or permanent part time Caretaker/Housekeeper and only where we deemed necessary.  Also, we do not provide any electrical or plumbing services beyond that which you might reasonably expect of an unlicensed home owner.

Handyman / Maintenance includes:

  • Tending to minor repairs where adequate tools are available and we are confident of success
  • Arranging emergency repairs (Plumbers, Electricians, Builders, Air-conditioning mechanic, Appliance Repairers etc...) in the event of  emergency or breakdown - Contacts phone numbers should be provided for all preferred sub-contractors

Website & OTA Management includes:

  • Checking & Updating OTA Configurations  (only where you specifically requested in writing that we do so, and we agree too) - All work will be on a best effort, no responsibility basis
  • Checking & Updating Property Website Configurations  (only where you specifically requested in writing that we do so and we agree too) - All work will be on a best effort, no responsibility basis

Channel Management includes:

  • Checking & Updating Channel Manager Configurations  (only where you specifically requested in writing that we do so, and we agree too) - All work will be on a best effort, no responsibility basis

Reservation Management includes:

  • Checking & Updating your Reservation System Configuration  (only where you specifically requested in writing that we do so, and we agree too) - All work will be on a best effort, no responsibility basis

Daily or Weekly Reporting includes:

  • Completing daily or weekly Management/Occupancy Reports in a timely manner
  • Filing of daily reports in accordance with documented procedures

Tour Desk Services Support includes:

  • Providing Guests with access to Tour & Activity Information (commission-able & non-commission-able) - Detailed handover notes & procedures required along with full Tour Operator contact details and comparison cheat sheets

Debtor Account Management (if requested), includes:

  • Filing debtor account paperwork & invoices
  • Chasing overdue agent &/or debtors accounts (only if specifically requested)

Package Add-ons

Property Photography Services*

We can help by taking quality photographic images of your guest rooms and other selected areas of your property for use on your website as well as for use on third party booking sites such as Booking.com and Expedia to improve your content scores with those sites.  This in turn helps to elevate your ranking in customer search results on those sites.  
 
The $250 Processing Fee includes the supply & editing of up to 40 high resolution images delivered to you electronically, as well as being uploaded to both Booking.com and Expedia and other Online Travel Agent websites on your behalf.  Whilst we retain ownership of the Intellectual Property (the images themselves), upon receipt of payment you are granted a non-exclusive license to use the images anywhere you choose.
 
Please note:  We are not professional photographers.  If you feel your property would benefit  from a professional photography session and this is within your budget, we highly recommend you do this BEFORE you engage us for any Channel Management services and ensure your photographer provides all the images to you on a USB Thumb Drive (not on a CD-ROM or DVD disk) in HIGH RESOLUTION format at a minimum size of 6000x4000 pixels. However, please contacts us first so we can provide you a list shot for your property so the photographer doesn't need to be called back because they missed a necessary image.

Channel Management Consultancy Services - $POA

In addition to the Channel Management Services provided with our standard Relief Management packages we can perform minor configuration improvements to Satin, GuestPoint, EzyRes/REI Master, RMS, and other reservation management applications to maximise your potential return, including 'going live' for those clients that have not taken that leap of faith at this time and are still managing their online availability manually via their Channel Manager.  You will be pleasantly surprised how much time this will save you!
 
Still using the old Book Method?  Let us open you up to the world of Online Reservations where an estimated 80% or more of all Accommodaiton is now sold.
 
We will also guide you through the process of creating establishing your property on websites such as Booking.com, Expedia, Agoda, Wotif, Priceline, Hotels Combined, Hotels.com and many many more etc.. Let us connect you with State & Federal Government travel services to grab a piece of the enormous public spend that you may be missing out on in your region.  
 
We can link your property with a Channel Manager that best suits your property and then link the channel manager back to your preferred Reservation Management System for automated and seamless creation of live online bookings.  This will result in significantly reducing your data entry and the time taken to process online bookings down to (depending on the combination of Channel Manger & PMS in use), simply filing an automatically printed email then making yourself a cuppa!  No more manual creation of online bookings into your PMS for online bookings and no more over booking rooms - all sorted!
